Ama’s location detail is wrong. Her record stays open for review.

A farmer should only confirm a digital traceability record after each field has been explained in spoken Asante Twi and checked against what they know about their farm. A signature or thumbprint records consent. It cannot create understanding.

At the farm gate, a traceability record can look complete long before the farmer knows what it says. A phone screen may show a farm identity, crop details, a location entry, delivery information, and a confirmation prompt. For the person holding the phone, the final tap can feel routine. For the farmer being asked to approve it, that tap may attach their name to facts they have not had a fair chance to question.

A confirmation screen is a decision, not a formality

At 4:20 in the afternoon, Ama stood beside a stack of cocoa sacks near her farm outside Kumasi, holding the strap of her faded handbag while a field officer waited with a phone. Her youngest son was due home soon, rain was beginning to gather beyond the trees, and two farmers were still waiting behind her.

The screen showed a record ready for confirmation. The officer pointed to the signature area and explained that it was for the cocoa collection record.

Ama could read a little English, but the record moved too quickly: farm details, harvest information, a location reference, then a box asking for approval. She knew one mistake could follow her into later records. If the farm size was wrong, if the crop information did not match what she had delivered, or if the record connected her cocoa to a place she did not recognise, her confirmation could make the error harder to challenge.

The worst outcome was clear. She could sign because a queue was waiting, then discover later that she had approved a record she could neither read nor correct.

A digital record needs more than a visible consent box. It needs a conversation in the language the farmer uses to make decisions.

Turn every field into a Twi question

The useful design move is simple: the system should speak one field at a time in Asante Twi, then ask the farmer to confirm, correct, or say they do not understand.

Instead of presenting a page of text, it can ask:

“Is this the farm you want to record today?”

“Does this crop and delivery information describe the cocoa you brought?”

“Do you recognise this location as your farm?”

“Would you like someone to explain this field again?”

That sequence changes the task. Ama is no longer being rushed toward a signature. She is checking facts she can recognise from her own work.

Each answer should have a clear path. “Yes” moves to the next field. “No” marks the field for correction. “I do not understand” should pause the confirmation and bring in a person who can explain it. Silence, an unclear voice response, or a contradiction between the farmer’s answer and the record should also stop the process.

This matters especially when a record contains terms that sound official but carry real consequences. A farmer may know the boundaries of her farm, the trees she tends, and the sacks she delivered. She may not know the English label used for a digital category. The system’s job is to bridge that gap without pretending the farmer has agreed to language they were never given.

COCOBOD has reported investment in a Cocoa Management System intended to improve data management and trace cocoa from the farm gate through export. That ambition depends on records being accurate at the farm gate, where the first facts enter the system. A record becomes stronger when the farmer who confirms it can actually test those facts.

Voice has to leave room for disagreement

A spoken workflow can still fail if it treats every answer as approval. The important word in a confirmation process is not “confirm.” It is “question.”

When the phone asks Ama about a field she does not recognise, it should not rephrase the same answer until she gives in. It should say, in plain Twi, that the field needs review. It should preserve what the record said, what Ama challenged, and who is responsible for resolving the difference.

That protects everyone involved. The farmer has a way to raise a concern before her signature is attached. The collector has a clear record of where a correction is needed. The organisation receives better data because uncertainty is recorded rather than hidden behind a completed form.

If the system cannot explain a field clearly enough for a farmer to assess it, it should not collect consent as though it can.

The farm gate should produce a record the farmer can stand behind

Before leaving the farm gate, Ama hears the last field read back in Twi. The delivery details match what she brought. One location detail did not sound right, so it remains open for review rather than being folded into a signed record. She approves the fields she understands and leaves with a clear account of what still needs attention.

That is a better ending than a faster signature.

A traceability system can carry information from the farm gate through export, but its credibility starts earlier: with the farmer hearing what the record says, answering in their own language, and having a real way to stop an error. Build confirmation around those moments. Treat every field as a question the farmer is entitled to answer.
